Position Summary

The Personnel Consulting Group is seeking an experienced Accounts Payable Specialist to manage the full-cycle AP process for a multi-entity portfolio. This role handles high-volume invoice processing, vendor account management, payment execution, and month-end reconciliations. Success requires thorough coding accuracy across entities, locations, departments, and projects. This position will report to the Senior Accountant.

Key Responsibilities

• Invoice & Expense Processing: Review, match, code, and process vendor invoices and corporate credit card transactions accurately using Sage Intacct. Ensure proper department and project allocation on all expense lines.
• Payment Execution: Prepare and process weekly vendor payments via check, ACH, and wire transfer following established approval schedules and internal controls.
• Vendor Management: Onboard new vendors, maintain tax/W-9 records, resolve statement discrepancies, and strictly follow fraud-prevention protocols for banking updates.
• Reconciliation & Month-End Support: Reconcile vendor statements and AP aging accounts, assist with period-end accruals, prepare annual 1099s, and support financial/audit requests.
• Compliance & Process Improvement: Adhere to internal segregation-of-duties controls, remain vigilant against payment fraud, and support continuous AP automation initiatives.

Qualifications

• Experience: 2 to 4+ years of full-cycle AP experience, ideally managing high-volume processing across multiple entities or locations.
• Education: High school diploma required; Associate degree in Accounting, Finance, or Business preferred.
• Technical Skills: Experience with Sage Intacct (or comparable multi-entity ERP) and Microsoft Excel. Familiarity with 1099 tax reporting.
• Core Competencies: Strong attention to detail, discrepancy-resolution skills, strict confidentiality, and effective vendor communication.
